Facilities Manager

Facilities Vancouver, Canada

Description

Poste chez DNEG

Our Facilities team plays a central role in the smooth running of the studio. We are looking for a Facilities Manager to join our Vancouver team and keep our site safe, efficient and ready for the creative and technical work that happens here.

Working closely with local senior management and our global sites, you will keep the facility running day to day while staying aligned with DNEG's global approach.

What you'll do

Health, safety & compliance

  • Lead all aspects of Health & Safety and Fire Safety, including risk assessments, emergency procedures and the Joint Occupational Health and Safety Committee.
  • Manage fire wardens and first aiders (including their training), and document all results.
  • Ensure statutory inspections meet City of Vancouver building codes and BC legislation, and obtain the permits and permissions needed for building work.
  • Work with HR to lead WorkSafeBC and first aid incident reporting.

Building, suppliers & contracts

  • Manage service and supply contracts: cleaning, waste and recycling, security, and building maintenance (electrical, plumbing, HVAC, CCTV and access control), including providing information for audits.
  • Be the primary point of contact for facilities issues and failures, and work with landlords, building owners and third parties to secure the best service levels and value.
  • Manage courier and mail processes, tracking deliveries in and out of the building and to staff.

Space & workplace

  • Work with Technology to allocate space, run space audits and optimise the use of the office as business needs change.
  • Coordinate fit-outs of new spaces and office moves, with design input where needed, and document change and move processes.
  • Equip new starters with desks, chairs, phones and other essentials, coordinating hardware with Technology, including deliveries for remote workers.
  • Manage facilities requests through Jira, ensuring swift responses.
  • Organise office events and act as the main point of contact, in line with Company policies.
  • Keep the facilities pages on the intranet up to date, and work with senior management and HR to define, update, create, and communicate office and facilities policies.

Team, front desk & travel

  • Line manages the team of Runners, and liaises with production on runner training and progression.
  • Oversee the front desk and visitor experience: welcoming guests, managing visitor access, handling calls and deliveries, and providing cover when needed.
  • Coordinate business travel (flights, accommodation, ground transport) for staff and visiting colleagues, in line with Company policy.

Budget & culture

  • Work with senior management to produce the annual department budget.
  • Champion DNEG's culture and bring ideas that improve how the studio works.

What you bring

Must haves

  • Previous office or facilities management experience, including building services.
  • Strong team management skills, with experience delegating and coordinating work in a fast-changing environment.
  • Health & Safety strategy and implementation experience.
  • Proven track record of negotiating prices and contracts, and managing supplier and third-party relationships.
  • Proven track record of budgeting and forecasting.
  • Experience of service charge management (meter reading, lighting, maintenance contracts, common-area cleaning).
  • Good knowledge of local building codes and BC legislation.
  • Ability to read and understand schematic drawings and floorplans
  • Experience of space planning and fit-outs; some design experience is a plus.
  • Understanding of low voltage electrical and mechanical systems.

Nice to have

  • Office relocation experience.
  • Business continuity planning experience.
  • Familiarity with OfficeSpace or similar space-management tools.
  • AutoCAD experience (2D and drafting)
  • Level 1 OFA or above
  • Experience with A/V or Home Theatre setup

About you

  • Friendly, enthusiastic and a natural motivator of others.
  • Organised and hard-working, thriving on responsibility and taking the initiative.
  • Persistent, with a willingness to find alternative solutions.
  • A feel for process and for working with others to improve it.
  • An excellent communicator and team player.
  • Someone who understands that our technical teams are at the core of our business, not a traditional IT department.
